Booking and paying for Summer Camp with Weekday Sports means that you enter into an agreement with us based on the information you have been given about our Camp and the information you have provided us about your child.

Payment of a deposit means that you are agreeing and accepting our booking conditions as shown below.  In the event of any changes during your booking process, please do not hesitate to contact us and we will get right back to you to discuss possible solutions as quickly and as effectively as communication between us and our parents is important to us.

Deposits

​

A deposit payment must be made within 3 days of making your reservation. Please note that deposit payments are non-refundable.

 

Balance Payments 

​

All balances must be paid must be paid by in advance of Camp.  If balance payments are not made by the due date shown on your invoice, we reserve the right to cancel the booking and retain your deposit. Balances must be cleared before children will be admitted onto Camp.

 

Please take note of balance due dates if you have taken advantage of our Super Early Bird or Early Bird discount offers. Failure to pay within the selected timeframe will result in your booking being charged at the next price band.

Late bookings or those not attending a full week at Camp will be required to pay in full at time of booking.

Cheques are made payable to Weekday Swim Ltd, and can be hand delivered by arrangement to Waverley Pool.  

Cash payments can be made (by arrangement) at Waverley Pool.

 

Childcare Vouchers. Please allow up to 5 working days for Childcare vouchers to reach us and use your Child's Full Name as a reference.

If booking after July 5th using childcare vouchers, you may be required to pay at the time of booking and then be reimbursed once your vouchers have been processed.

​

Confirmation of Booking

Your confirmation invoice confirms the dates you have booked. We ask that you check it carefully and contact us immediately if any detail of your booking is incorrect.  Confirmation of booking details are your responsibility.

 

Changing your Booking

We may be able to switch weeks or days (if you are joining us for part weeks), if we have spaces available and you request your change at least 3 working days before your child’s first day at camp.

If you have booked a full week, you cannot move individual days to another week, unless you upgrade to pay the day rate of  £34.50 for each day changed. Please be aware that changing or moving bookings is always dependent on availability as we are unable to exceed our adult: child ratios. Additional days at the day rate of £34.50 if spaces are available.

 

 

Cancellations

We are unable to refund for deposit or balance payments.  

 

Taking Photographs/Videos

We reserve the right to take photographs or videos of activities at Camp to use for training and promotional purposes for Weekday Sports or associated companies Weekday Swim Ltd & TTP Swim School Ltd.  If you wish to exclude your child, we must be informed in writing before your Camp start date.  We may post photos to our Social Media Page or on our website using the photos taken during Camp.  

 

Health and Safety

In order to maintain appropriate standards of health and safety, children who are unable to demonstrate the required skill or competence due to health/restricted ability will have activities modified to enable participation, or may be provided with alternative activities.  This can be discussed at the time of booking.

 

Please ensure that your child’s Information is correct at the time of booking and that you let us know about any changes which arise between booking and Camp start date.

The child’s full name & preferred name (if it is different), DOB, medical, physical or behavioural matters, or any other additional needs must be provided.

​

Failure to supply correct information could result in the child being excluded from certain activities or in extreme circumstances your booking may be cancelled with no refund offered.  On the first day at camp, a completed, signed and printed Information form must be handed in directly to the camp. Without this form, we cannot accept children onto camp. All information given will be treated in complete confidence.

 

Child Protection

All staff have a duty to respond if they suspect a child in their care may be suffering from abuse, or if a child makes a disclosure about abuse. In this event staff will contact the Local Children and Families Team and act on their advice.

 

Staff Ratio

Our adult: child ratio ensures that children are safely supervised during all activities with an additional member of staff being on hand for any minor emergencies.

 

Liability

Weekday Sports does not accept liability for personal injury or the death of any person unless directly caused by the proven negligence of the company or its servants, in this event our liability insurance provides adequate cover.  

 

Personal Property

We will not take responsibility for the loss or damage of personal items but will encourage your child to be mindful of where they are placing their property and the importance of gathering up their personal items at lunch times and at the end of the day.

Exclusions

Weekday Sports reserve the right to exclude a child at its absolute discretion and in accordance with our policies and procedures, including persistent late collection. Camp finishes at 5.00.pm You will be charged a late fee of £5.00 for every 10 minutes past 5.00pm.

​

We are only registered to have children on site until 6pm after which Weekday Sports will be forced to inform the Local Authority if children remain uncollected. If children are excluded due to persistent late collection, no refund will be made for days missed and no compensation will be made for any other costs or losses incurred as a result.

 

Programme and Activities

Our listed activities may not appear on the timetable daily and from time to time, scheduled activities may change to suit the needs of the group. Please bear this in mind if you are booking individual days as we cannot guarantee specific activities on specific days.

Complaints

Our policy is communication, communication, communication!  If there is something you are unhappy with, we would rather you come to us than suffer in silence as we cannot change something after the event.  We take all complaints and concerns seriously and will work with you to resolve the situation as swiftly as possible.  In the unlikely event of your complaint being unresolved, you may wish to put it in writing to Weekday-Sports@weekdayswimltd.com and you will be contacted to discuss things further. Please request our full complaints procedure or view at Camp.

 

Data Protection

It is your responsibility to ensure that you have permission to supply personal details about you and your child/ren to enable us to process your booking.  We hold your details for future Camp offers or swimming activities we may offer in accordance with the GDPR guidelines which come into effect 25th May 2018. Once OPTED IN we will never pass details onto third parties and you will only ever be contacted by Weekday Sports or associated companies,  Weekday Swim Ltd or TTP Swim School Ltd.

Please let us know if you do not wish to be contacted by any/all of the above after the close of the Summer Camp season.
